How to use this template

  1. 01

    Identify the supply and customer

    Give the invoice a unique reference and record the issue date, service date and agreed due date. Include the supplier and customer details required for your situation.

  2. 02

    Calculate the total transparently

    List service quantities and rates, then any materials, discounts and applicable taxes. Check arithmetic against the work agreement before sending.

  3. 03

    Deduct payments once

    Show money already received separately from a discount. Subtract it from the billed total to calculate the outstanding balance, then include a payment reference and instructions.

What is included in the template?

The blank form provides room for supplier and customer details, a line-item table, totals, payment history and instructions. The fictional second page demonstrates the arithmetic. It is not a sample of a jurisdiction-specific tax invoice.

Worked example: a partial payment

Four hours at 65.00 is 260.00. Adding 40.00 of consumables gives 300.00 before any applicable tax. If 100.00 has already been received, the remaining pre-tax balance is 200.00. Record that receipt as a payment, not as both a payment and a discount.
